Mobile European Operation Improves Document Handling With Diino

Whilst the flexible working practices at Swedish Euproc enable the organisation to operate effectively throughout Europe, they did present a logistical challenge in terms of managing the secure flow of information.

Euproc is a very mobile organisation with a team of fifteen people living and working in different locations all over Europe. Per-Anders Jämtnäs, CEO, says: “We are dependent on each other to get live updates for different projects and to be able to deliver material directly to everybody involved. To manage the flow of information through normal e-mail and telephone calls is too risky and besides, it’s impossible for everyone to be in phase with each other, with all the current information.”

It was vital to Euproc that it could find a solution ensuring all parties received the latest updated version of important documents and that anyone who temporarily joined a project was able to get a quick overview of the situation in order to be productive and efficient immediately.

“Previously, we faced big problems in the way we handled our flow of documents, demanding too much of our time and resources to locate and cross-reference relevant information,” said Per-Anders Jamtnas. “On bigger projects, where many people were involved we had too many instances where the wrong information was being circulated and we were wasting time checking that the information was correct rather than being productive.”

Euproc implemented the Diino file storage, access and distribution solution, to help it improve the efficiency of its working processes. In effect, Diino has became the company’s virtual headquarters – a source of information for the whole organisation. Not only has this improved productivity and reduced mistakes, it has also been beneficial for relationships with contractors because there is a clearly organised system for storage, retrieval and the sharing of all project information.

Implementation of Diino has provided Euproc with:
